1. Acceptance of Terms
By accessing or using PayFlow Guardian (“the Service”) at payflowguardian.com, you agree to be bound by these Terms of Service (“Terms”). If you do not agree to these Terms, do not use the Service.
These Terms apply to all users of the Service, including individuals and businesses. We reserve the right to update these Terms at any time, and continued use of the Service after changes constitutes acceptance.
2. Service Description
PayFlow Guardian is an accounts receivable management tool that helps freelancers and businesses track invoices and send automated payment reminders to their clients. The Service includes:
- Invoice tracking and management dashboard
- Automated email reminders sent to your clients before and after invoice due dates
- A client-facing response system allowing clients to confirm payment or leave messages
- AI-powered analysis of client responses with recommended next actions
- Email draft generation for follow-up communications
3. Free and Pro Plans
The Service is offered on two plans:
- Up to 3 active invoices at any time
- Full access to automated reminders and AI features
- Client response tracking
- Unlimited active invoices
- All features included in the Free Plan
- Priority support
- Early access to new features
We reserve the right to modify plan features and limits with reasonable prior notice to users.
4. Payment and Billing
The Pro Plan is billed at $29 per month. Billing is processed monthly and you will be charged on the same day each month from the date you upgrade.
You may cancel your Pro subscription at any time. Cancellation takes effect at the end of the current billing period, and you will retain Pro access until that date. We do not offer partial refunds for unused portions of a billing period.
We reserve the right to change our pricing with 30 days' notice. Continued use of the Pro Plan after a price change constitutes acceptance of the new price.
5. Acceptable Use
You agree to use the Service only for lawful purposes. You must not:
- Use the Service to send spam, unsolicited emails, or harassing messages to your clients
- Use the Service to collect payments for illegal goods or services
- Attempt to reverse-engineer, copy, or resell any part of the Service
- Use the Service to impersonate other individuals or businesses
- Attempt to gain unauthorized access to any part of the Service or its infrastructure
- Input false invoice information or misrepresent amounts owed to clients
We reserve the right to suspend or terminate accounts that violate these usage policies without prior notice.
6. Data and Privacy
Your use of the Service is also governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the Service, you consent to our collection and use of your data as described in the Privacy Policy.
You retain ownership of all invoice data, client data, and content you enter into the Service. By using the Service, you grant us a limited license to process this data solely for the purpose of providing the Service to you.
7. Limitation of Liability
The Service is provided “as is” and “as available” without warranties of any kind, either express or implied. We do not guarantee that the Service will be uninterrupted, error-free, or that emails will be delivered successfully.
PayFlow Guardian is a communication and tracking tool. We are not responsible for actual payment collection outcomes, client disputes, or financial losses resulting from unpaid invoices. The Service assists you in managing reminders but does not guarantee payment from your clients.
To the maximum extent permitted by law, PayFlow Guardian shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Service, including but not limited to lost revenue, lost data, or business interruption.
8. Termination
You may terminate your account at any time from the account settings page. Upon termination, your access to the Service will cease and your data will be deleted in accordance with our Privacy Policy.
We reserve the right to suspend or terminate your account at our discretion if we believe you have violated these Terms or if your account poses a risk to other users or the Service.
9. Changes to Terms
We may update these Terms of Service from time to time. When we make material changes, we will notify you by email or by displaying a notice in the application. Your continued use of the Service after such changes constitutes your acceptance of the new Terms.
